Direct answer
Verify production readiness through order-specific records rather than a general factory tour. Ask for the controlled drawing list, incoming-material identification, machining and inspection records, assembly status, electrical and software revision, FAT plan, open-deviation list, packing scope and document handover. Tie every photo, video and measurement to the order, component or test date it represents.

Start with controlled order documents
Confirm the drawing register, bill of materials, component revisions and responsibilities for purchased assemblies. A dated factory image is useful only when the supplier can identify which order or process it documents.
Trace material and critical processes
Record material identification and the inspection points used for frames, shafts, rollers, tooling and other agreed components. Buyers should request the relevant records for their order without assuming that a workshop view proves tolerances or capacity.
Close readiness with FAT and handover records
Link assembly and electrical revisions to the FAT plan, measured samples, deviation list and corrective actions. Before packing, confirm the agreed spare parts, manuals, drawings, backup files, labels and shipment documentation.
Use dated milestones that buyers can verify
A practical progress report identifies the order, current drawing revision, completed stations, pending work, inspection result and next evidence point. Photos should show the relevant component or station and include the capture date in the record. If a stage cannot yet be verified, mark it open instead of treating general workshop activity as proof of completion.
Halcyon original evidence framework
Halcyon's order-linked factory evidence ladder assigns a minimum proof level to every progress claim. General workshop media is Level 1 context; shipment readiness requires Levels 2 through 5 for the buyer's order.
| Evidence link | Record required | Decision value |
|---|---|---|
| L1 — Context | Dated factory or process image | Shows the environment but does not prove order status |
| L2 — Order identity | Order reference, component ID and drawing revision | Connects the evidence to the buyer's machine |
| L3 — Process result | Inspection record, measurement or completed station check | Shows that an agreed activity produced a reviewable result |
| L4 — Acceptance | FAT item, labeled sample, deviation and approval status | States what passed and what remains open |
| L5 — Handover | Final documents, backups, spares, labels and packing list | Shows whether the machine is ready for controlled shipment |
Methodology note: This is an original Halcyon buyer-review template for organizing procurement evidence. It is not a certification and does not replace the signed technical agreement, contract or applicable safety requirements.
Buyer review checklist
| Review item | Evidence to record | Why it matters |
|---|---|---|
| Document control | Drawing register, BOM and revision status | Keeps production tied to the approved scope |
| Material traceability | Supplier records and material identification | Shows what was used for agreed critical components |
| Process checks | Machining, assembly and inspection records | Makes progress and acceptance evidence reviewable |
| FAT closure | Test plan, samples, measurements and deviations | Separates observed results from unresolved claims |
| Handover | Manuals, drawings, backups, spares and packing list | Reduces missing information at installation |
Questions buyers ask
Does a factory video prove production capacity?
No. It shows context at a point in time. Capacity and order readiness need dated, order-linked records and an agreed test plan.
Which records matter before FAT?
Use the approved drawing list, material and component records, assembly and electrical revision, FAT procedure and open-deviation list.
What should be closed before packing?
Close agreed FAT deviations and verify the final manuals, drawings, software backups, spare parts, labels and packing list.
Information to send for an order-specific review
Provide the profile drawing, steel grade, thickness range, punching layout and target output. Add cut lengths, product mix, destination electrical standard, available building dimensions and the required acceptance method when they affect the line scope.
