What Spare Tooling Documents Should a Roll Forming Machine Buyer Request?
Before accepting an exported roll forming line, ask for a replacement-parts register tied to the line identity and the approved drawings. It should list every installed and optional roll, shaft, bearing, punch, cut tool and wear part, with part number or drawing reference, quantity, revision date and responsible supplier. A photograph or a generic "spares included" line does not tell a future technician what will fit.

What the register has to list
| Document or item | Check before acceptance |
|---|---|
| Delivered spares list | Part identity, quantity, shipment location, agreed scope. |
| Replacement drawing or reference | Revision, dimensions, mating interfaces, and permitted reuse for future manufacture. |
| Wear-item register | Installed type and replacement criterion for cutter, punch and similar items. |
| Support route | Who verifies fit, what evidence to send, written availability and lead-time terms. |
Why fit depends on the machine identity
Forming rolls are made for one profile and one pass position, so similar looks say nothing about bore, shaft, keyway, stand spacing or revised geometry. Formtek's OEM service information describes replacement rolls, shafts, stands and drawing-file management. Record these fields at handover:
| Field | What to record |
|---|---|
| Manufacturer and line/model | As shown on the supplied documents. |
| Serial or order ID | The machine serial or unique order identifier, if assigned. |
| Profile drawing | The approved revision. |
| Roll and stand positions | Where each roll sits in the pass sequence. |
| Tool references | Drawing or part reference for each tool. |
| Part origin | Supplier-controlled proprietary part, or independently obtainable standard part. |
| After modification | How a part is identified once the line has been changed. |
Tie each spare to the product you must make
Send the approved profile drawing, steel grade, thickness range, punching layout and target output with the spare-tooling question; they define the roll and punch duties. For several profiles, identify each drawing and changeover set, since a part ordered against an older drawing can bolt in and still make a mismatched profile.
If a drawing is restricted
Do not assume every proprietary tool drawing will be released. If one is restricted, agree another identification and ordering method in the contract. Stock, interchangeability and delivery time need the supplier's own evidence for that item.
Frequently asked questions
Is a generic spare-parts list enough for a roll forming machine?
No. Request line identification, part numbers or drawing references, revisions, quantities and the exact scope supplied. A generic list cannot establish fit for a particular line.
Should replacement rolls be ordered using only a photograph?
No. Match the approved profile, forming-pass position, shaft and bore interfaces, drawing revision and material requirement before manufacture or purchase.
Does a spare-tooling quotation guarantee a delivery date?
No. Ask the responsible supplier for item-specific availability, manufacturing route and written lead-time terms for the identified parts; do not infer them from another maker's service page.
Next steps
Use our tooling inspection checklist for trial evidence on the installed tools, and pair the register with the maintenance record at commissioning. For a proposed line, send the profile set and ask Halcyon for a supplier-specific spare scope and identification plan. Halcyon supplies factory-direct from our Xiamen production base.
Limits: This is a buyer's document checklist. The Formtek page illustrates drawing-managed replacement parts and does not establish Halcyon stock, included spares, lead times or warranty.
